Introduction

This Privacy Policy describes how SOUNDLINK (HK) (“SOUNDLINK (HK)” or “Company”) collects, uses, and handles your personal data (“Personal Data”), and what choices you have when you use our website, applications, platforms, and services (collectively, the “Services”), including the Aureon macOS application. By using the Services, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree to the practices described in this Privacy Policy, please do not access or use the Services. Any capitalized terms not defined herein have the meaning ascribed to them in our Terms of Service.

This update clarifies how third-party speech and AI providers process requests during the Aureon Beta, including their retention settings and where processing may take place. Aureon does not maintain a cloud library of voice recordings or transcripts.

Information We Collect

We collect several different types of information for various purposes to provide and improve our Services, including Personal Data, Usage Data, and Voice & Contextual Data as set forth below. If you do not provide your information when requested, you may not be able to use some or all of our Services if that information is necessary to provide you with our Services or we are legally required to collect it.

Personal Data

While using our Services, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you (“Personal Data”). Personal Data may include without limitation:

  • Email address
  • First name and last name
  • Cookies
  • Usage Data (as defined below)
  • Any other Personal Data that you voluntarily provide to SOUNDLINK (HK)

Usage Data

We may process information related to your interaction with or usage of the Services, including without limitation: your IP address, device type, operating system version, application version, pages of our Services that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers, system logs, performance metrics, and other diagnostic data related to your interaction with the Services (“Usage Data”). This data is processed to deliver and improve the Services.

Voice and Contextual Data

When you use Aureon, we process the following data to deliver accurate, context-aware transcriptions and expression polishing:

  • Voice Audio: Your voice audio is encrypted in transit and sent to Aureon's cloud service and contracted speech-processing providers to complete the feature you request. Aureon does not add the audio or resulting transcript to its cloud application database or routine server logs. Provider-side processing and retention are governed by applicable service settings, our agreements with those providers, and legal requirements.
  • Contextual Information: With your permission, Aureon may collect limited contextual information through macOS Accessibility APIs, such as the current application name (Bundle ID), window title, application category (e.g., email, IM, document), and relevant text within the input field. This information may be sent with a request when context sharing is enabled. Aureon handles it as described in this Policy, and providers involved in the request process it in accordance with our agreements with them, applicable service settings, and legal requirements. You can disable context sharing in the application settings.
  • User Profile Data: Information you voluntarily provide in your user profile — such as your role, industry, language preferences, regional variant, expression style preferences, native language, and target language proficiency level — is stored locally on your device (encrypted via macOS Keychain + SQLite). A limited summary of relevant profile fields may be sent with an individual request to guide AI processing. Service providers involved in the request process it under the terms described below.

Feedback Data

Aureon can adapt locally to your interactions to improve your personal workflow over time. Detailed edit differences and personal learning data used for your dynamic profile are stored locally on your device. Separately, privacy-minimized Usage Data may describe how a feature performed, such as the feature or mode used, success or cancellation status, coarse lengths or counts, timing, and error categories.

  • Local edit differences used to adapt your personal writing profile
  • Feature, mode, status, timing, and reliability metadata used to operate and improve the Services

Usage Data does not include raw voice transcripts, generated output, private message bodies, personal dictionary entries, agent names, or knowledge-file text. If you voluntarily submit feedback through the app, we collect the diagnostic information you choose to provide so we can help resolve the issue. Aureon does not use that support information to train its own models.

Third-Party Platforms

We may collect information when you connect to your account using an account maintained by a third party, such as a social media account (“Third-Party Account”). The Services may collect information about you from your Third-Party Accounts in accordance with your permissions. When you connect to us through a Third-Party Account, we receive information from that third party identifying your account. We collect and store this information and use it to help you connect to the Services. Connecting your account to a Third-Party Account is completely optional, and you will have the opportunity to grant permission when you attempt to connect. You can revoke permission by logging into the Third-Party Account and disconnecting Aureon from there. We may retain the information we collected previously from you.

Payment Information

When you sign up for any of our Paid Services or in-app subscriptions, third-party payment processors or application marketplaces collect and process your payment-related information, such as your name, email, billing address, credit/debit card or banking information, or other financial information. Their processing is governed by applicable agreements, terms, privacy policies, and law.

Other Information You Provide Directly To Us

You may have the option to submit additional information as you use our Services. For example, you may choose to participate in surveys where you can provide feedback on our products.

Use of Data

SOUNDLINK (HK) may use Personal Data and Usage Data for the following purposes:

  • Service Operation. To provide, update, maintain, improve, monitor, and protect our Services. Voice, text, and optional context are transmitted to return the feature you request. Aureon does not add voice recordings or transcripts to its cloud application database or routine server logs, and does not use personal input to train its own models. Third-party service providers process request data subject to our agreements with them, applicable service settings, security controls, and legal obligations. If you voluntarily contact support, we may review the information you choose to send us only to diagnose and resolve the issue.
  • Communication. To provide customer and technical support, to send service-related emails, and to send marketing emails about new product features or other news about Aureon.
  • Digital Advertising. To display digital advertising to you on our website or other websites (including through the use of cookies or other technologies).
  • Administration. For transactional, billing, account management, tax, and administrative matters.
  • Compliance. To comply with applicable laws and regulations or a court or other legal order.
  • Risk Mitigation. To detect violations of our legal terms, enforce the legal terms that govern your use of the Services, or to detect, prevent, and respond to potential fraud or misuse of the Services.
  • Interaction Improvement. To develop and improve our marketing activities to better match your interests and preferences.
  • Marketing. To contact you with marketing or promotional materials and other information that may be of interest to you. You may opt out of receiving any, or all, of these communications from us by following any unsubscribe link or other mechanism provided to remove yourself from such communications.
  • Other. For other lawful purposes with your consent.

Our lawful basis to collect and use your Personal Data and Usage Data will depend on the type of information and the context in which we process it. We may process your information to enter into or perform a contract with you, for the purposes of our legitimate interests (unless your rights and freedoms override those interests), with your consent, or to comply with our legal obligations.

Use of Cookies and Other Tracking Technologies

SOUNDLINK (HK), and the third parties we work with, use cookies and other tracking technologies on the Services (primarily our website) to collect information about your usage of the Services and your device. We use necessary cookies and similar technologies to operate the website and keep it secure, analytics cookies to understand site performance and usage patterns, and advertising attribution technologies to measure the effectiveness of our own marketing campaigns. Analytics cookies are optional: you can accept or reject them through our Cookie settings and change your choice at any time. You can also control, block, or delete cookies and similar technologies through your browser and device privacy settings.

Online Analytics and Tailored Advertising

Analytics

We may use third-party web analytics services to help us understand how visitors use the Services, including the site or campaign from which a visit originated. Information collected through analytics technologies may be disclosed to or collected directly by these providers, subject to our agreements with them, applicable service settings, and law. You can limit analytics technologies through your browser and device privacy controls.

For our public website, these providers include Firebase Analytics and Microsoft Clarity. With your analytics-cookie permission, they may collect page views, interactions, browser and device information, and session-related technical data. Microsoft Clarity uses this information to provide session replays, heatmaps, and aggregated usability insights. We do not use these services to intentionally transmit voice recordings, transcripts, generated output, private message content, Agent names, personal dictionary entries, or knowledge-file text.

Tailored Advertising

We engage in advertising for our own products and services and track ad attributions to measure effectiveness. We may use cookies or similar technologies to collect information about your use of our Services to optimize and serve our marketing content based on your interactions with our website and Services. We do not sell your data, share it for cross-context behavioral advertising as defined by CCPA/CPRA, or use it to optimize ads for other companies. Currently, we do not allow unaffiliated parties to serve tailored marketing through our Services.

Retention of Data

For voice data and contextual information:Aureon does not keep voice recordings or resulting transcripts in its cloud application database or routine server logs after processing. To deliver speech-to-text and related AI features, audio, transcripts, and optional contextual input are transmitted to speech and language processing providers. Provider-side processing may include retention for service delivery, security, abuse monitoring, troubleshooting, or legal compliance, subject to applicable service settings and our agreements with those providers. This handling is separate from Aureon's own product storage practices.

For user profile and learning data: Your user profile, expression preferences, dynamic learning data, and Expression Memory are stored locally on your macOS device. Limited profile hints may be included in a request when needed to personalize the result and are handled as described in this Policy.

For account and billing information: We retain your account-related Personal Data (such as email address and payment records) only for as long as is necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements.

For voluntarily submitted feedback: If you choose to send us feedback, we collect necessary diagnostic information to address your issue. This data is retained only as long as needed to resolve the matter, unless you explicitly consent to its use for improving Aureon.

For website Usage Data: Basic analytics data (e.g., page visits on our marketing website) may be retained for internal analysis. This does not include any voice, transcription, or polishing-related content.

Transfer of Data

Your information may be transferred to and processed in countries other than the country where you live, including the United States and other jurisdictions where we or our Service Providers operate. These locations may have data protection laws that differ from those in your jurisdiction. Where required by applicable law, we take steps designed to provide appropriate safeguards for international transfers.

We take reasonable steps designed to protect Personal Data in accordance with this Privacy Policy and applicable law.

Sharing With Others

This section describes when we may disclose Personal Data:

  • Service Providers. We may share Personal Data with Service Providers who are working on our behalf (e.g., billing and payment service providers, third-party speech and language processing service providers, analytics providers, cloud providers, communications providers). We limit disclosures to information reasonably necessary to operate, secure, and support the Services or comply with law. Voice audio, transcripts, text, and optional context may be processed by speech and language processing providers as reasonably necessary to provide, secure, and support the requested features. These providers process request data subject to our agreements with them, applicable service settings, security controls, and legal obligations. Aureon does not sell voice or transcript content.
  • Protection of SOUNDLINK (HK) and Others. We may disclose your information to protect the rights, property, or personal safety of SOUNDLINK (HK), its agents and affiliates, its users, and the public. This includes exchanging information with other companies and organizations for fraud protection, spam/malware prevention, and similar purposes. We may also disclose your Personal Data if we believe that disclosure is reasonably necessary to comply with any applicable law or regulation, if we are required by law to comply with any court order or legal process or respond to any government or regulatory request, and to maintain and enforce our agreements and policies.
  • Business Transfers. We may disclose your Personal Data in connection with any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company, in reliance on our legitimate business interests.
  • Compliance. To comply with applicable laws and regulations or a court or other legal order.
  • Affiliates. We may disclose Personal Data with our affiliates who use Personal Data as set out in this Privacy Policy.
  • Advertising Partners. We may partner with third party advertising networks, exchanges, and social media platforms to measure attribution and performance for our own advertising campaigns. We may disclose limited website Usage Data for this purpose, but we do not sell your Personal Data or share it for cross-context behavioral advertising as defined by CCPA/CPRA.
  • Others with Your Consent. We may share your Personal Data with other third parties with your express consent.

How We Secure Your Information

The security of your data is important to us. We implement technical, administrative and physical safeguards to protect the information we collect from loss, misuse and unauthorized access, disclosure, alteration, or destruction. Specific measures for Aureon include:

  • Voice audio is transmitted over encrypted connections (TLS)
  • Aureon does not add voice audio or transcripts to its cloud application database or routine server logs
  • User profile data is encrypted locally via macOS Keychain
  • Dynamic learning data is stored in encrypted local SQLite databases
  • Context sharing is permission-based and can be disabled in the app settings

However, no method of transmission over the internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.

Your Data Protection Rights Under General Data Protection Regulation (GDPR)

If you are a resident of the European Union (EU) and European Economic Area (EEA), you have certain data protection rights, covered by GDPR. We aim to take reasonable steps to allow you to correct, amend, delete, or limit the use of your Personal Data. If you wish to be informed what Personal Data we hold about you and if you want it to be removed from our systems, please email us at hey@zephyrfuture.com.

In certain circumstances, you have the following data protection rights to:

  • Access, update or to delete the information we have on you;
  • Have your information rectified if that information is inaccurate or incomplete;
  • Object to our processing of your Personal Data;
  • Request that we restrict the processing of your personal information;
  • Be provided with a copy of your Personal Data in a structured, machine-readable and commonly used format;
  • Withdraw your consent at any time where we rely on your consent to process your personal information.

Please note that we may ask you to verify your identity before responding to such requests. Please note, we may not be able to provide Services without some necessary data.

You have the right to complain to a Data Protection Authority about our collection and use of your Personal Data. For more information, please contact your local data protection authority in the European Economic Area (EEA).

Cloud processing may involve transfers outside the European Economic Area or United Kingdom. Where applicable, we use contractual or other safeguards required by law and support access, correction, export, and deletion requests for Personal Data under Aureon's control.

Your California Privacy Rights (CCPA/CPRA)

If you are a California resident, you may have rights under the California Consumer Privacy Act and the California Privacy Rights Act (collectively, “CCPA/CPRA”). Subject to applicable limitations, these rights may include the right to know what categories of Personal Data we collect, use, disclose, or share; the right to access specific pieces of Personal Data; the right to request deletion or correction of Personal Data; and the right to opt out of the sale or sharing of Personal Data.

We do not sell your Personal Data. We also do not share Personal Data for cross-context behavioral advertising as that term is defined under CCPA/CPRA. If our practices change, we will update this Privacy Policy and provide any required opt-out mechanism.

We will not discriminate against you for exercising your privacy rights. To submit a California privacy request, contact us at hey@zephyrfuture.com. We may need to verify your identity before completing your request.

Children's Personal Data

To use the Services, you must be at least 13 if you reside in the United States, and 16 if you reside anywhere else, or such higher age as required by your local law. If you are under the age of 18, depending on where you live, you may need to have your parent or guardian's consent to our Terms and they may need to enter into our Terms on your behalf. If you are a parent or guardian and become aware that your child provided us with Personal Data, you should contact us at hey@zephyrfuture.com.

Service Providers

We may use third-party companies, vendors, personnel and other service providers to facilitate our Services, provide Services on our behalf, analyze how our Services are used, and provide similar third-party services (collectively, “Service Providers”). These Service Providers may access Personal Data as needed to provide services to us and handle it under their agreements with us, their applicable terms and privacy policies, and legal obligations. Key categories of Service Providers include:

  • Speech and language processing providers — to transcribe audio and produce the output you request. Depending on the feature, these providers may process audio, transcripts, text, and optional context subject to our agreements with them, applicable service settings, security controls, and legal obligations.
  • Payment and subscription management providers — to process purchases, renewals, cancellations, and subscription status.
  • Analytics, infrastructure, and reliability providers — to operate the Services, understand aggregate usage, diagnose failures, and maintain security and availability.

Links to Third-Party Websites

The Services may contain links to third-party websites or services. We are not responsible for the content or practices of those websites or services. The collection, use, and disclosure of your information by third parties will be subject to the privacy policies of the third-party websites or services, and not this Policy. We urge you to read the privacy and security policies of these third parties before providing information to them.

Changes to This Privacy Policy

We'll update this Privacy Policy from time to time. When we make changes, we'll update the date at the top of the Privacy Policy. If a modification meaningfully reduces your rights, we will notify you (by, for example, sending you an email or displaying a prominent notice within the Services). The notice may designate a reasonable period after which the new terms will take effect. Modifications will not apply retroactively. We encourage you to check back periodically to review this Privacy Policy for any changes since your last visit.
